Event Details
Location: Vera Cocina & Culture, Washington, D.C.
About the Event
An end-of-the-year event for a private corporation, this party was full of yacht rock, caviar, and cruise ship couture. A homage to the popular HBO Max television show, White Lotus, the event featured an appearance by actress Parker Posey. Guests were checked into one of two high-end D.C. hotels, with welcome packages featuring all-access skeleton keys that served as their table number for the party and as an identifier for party swag. Party buses transported guests to the event venue, where they were met by a concierge team ready with their favorite drink orders and light bites before dinner.
Dinner was seated in the upstairs portion of the venue with a multi-course menu and a branzino presentation. A local ukulele player scored the service before guests returned to the venue’s ground level and were greeted with a DJ, dance, jazz band, and a swag station featuring branded items like robes and towels, as well as custom Ray-Ban sunglasses. The night concluded with a return to the hotels via party bus.

Pre-Event Services
Project Management
Project management services, including the use of web-based project management software throughout the entire event production process for the elements we are supporting. Software includes a comprehensive timeline of deliverables from contract ratification through planning and implementation, to ensure the schedule of events and programs is carried out within the expected timeframe.
Reporting on all project updates as well as scheduling and managing meetings with the client team.
Additional project management support, including but not limited to: stakeholder updates, quality control reports, and hiring of additional vendors and contractors to be agreed.
Venue Research & Feasibility
Conduct thorough research to identify the most suitable venues for the event, considering factors such as capacity, location, accessibility, and ambiance to align with the event's goals and theme.
Evaluate the feasibility of each venue option, providing detailed insights into associated costs, logistics, and potential challenges to ensure the venue choice meets both budget and event requirements
Budget Management & Tracking
Create, manage, and track event budgets with input and oversight from the client.
Track payment deadlines and facilitate all vendor invoicing and payment.
Continually update the budget to reflect approved costs and expenses.
Pre-Event Vendor & Talent Services
Provide non-production vendor services, including RFP processes, contract drafting, and contract review.
Liaise with VIPs, principals, and talent staff and security to ensure all principal & needs are met before and throughout the event’s completion.
Send briefings to program participants & talent confirming all details of the event if desired.
Event Discovery & Programming Support
Work with team to identify event timelines, themes, guest experience, event and set design, additional concepts, tone, and flow.
Work to enhance the event schedule to meet the desired guest experience.
Provide content development consulting and graphic design throughout the project, inclusive of story arc creation and script development consulting.
Collaborate with team to offer guidance, input, and oversight on the design, planning, and implementation of the entire program vision for all production aspects.
Hospitality and F&B Management
Catering management, including ancillary attendee needs, session breaks, green room setups, executive lounge setup, media and press room setup, meeting spaces/bilateral room needs, etc.
Compile menu and vendor information needed for program collateral.
Coordinate food, beverage, and alcohol vendors while ensuring that the event complies with all applicable laws and regulations.
Venue Logistics Preparation
Prepare for on-site event management and on-the-ground support, including defining lead roles. This can include roles in logistics, production, programming, attendee experience, speaker experience, and more.
Create and manage updates to the overall event timeline to ensure that event flow is logical and runs smoothly.
Coordinate production schedules and overall floor plans of all event spaces and offsite venues.
Day-Of Services

Arrange for necessary technical requirements, including sound, lighting, stage management, video, graphics, etc.
Post-Event Services
Post-Event Project Management
Ensure final invoices are sent in a timely manner, and all event contracts are closed out.
Evaluate vendor/contractor performance and provide recommendations on future plans.
Host final post-event meeting inclusive of all project stakeholders.
Close out the project across all areas of work.
