About the Event

Each year, real estate company Bozzuto hosts a leadership conference to bring together employees for two days of programming, food, and fun. The conference features leaders from across the company addressing the state of the business, hosting fireside chats, and sending guests to breakout sessions that connect and prepare them for the future.

Scope of Services

Event Preparation Services

  • Full project management utilizing web-based software for timelines, deliverables, weekly meetings, stakeholder updates, and quality control.

  • Budget and accounting management, including creative solutions for cost-effectiveness, budget tracking, vendor invoicing, payment facilitation, and continuous budget updates.

  • Event discovery and program development, collaborating with the client on timelines, locations, venues, themes, guest experience goals, event and set design, and overall tone and flow.

  • Vendor and talent services, encompassing RFP processes, contract drafting and review, liaising with talent/VIP staff and security, and sending instruction packets/briefings.

  • Registration management, which includes building a branded event website, managing sponsorship and guest registration, assisting with guest communications, and overseeing technical components related to registration and check-in. On-Site/Day of Production Services

Programming Services

  • Consulting on the design, flow, planning, and execution of the overall programmatic vision for all production elements.

  • Full content development consulting, including story arc creation, storyboard production, programmatic development, and script development consulting.

Food & Beverage/Hospitality Management

  • Full catering management for all attendees’ needs and session breaks.

  • A dedicated Hotel and Local Travel Coordinator to manage hotel room blocks and local ground transportation

  • Compiling menu and vendor information for program collateral.

  • Coordinating food, beverage, and alcohol vendors while ensuring compliance with all applicable laws and regulations.

On-Site Setup Management

  • Managing and overseeing the load-in and setup of decor, stage sets, and all event spaces, activations, and installations.

  • Managing and overseeing conference registration (on-site staffing is an additional cost).

On-Site Technical Production and Show Direction

  • Overseeing full show production, technical direction, and stage and floor management.

  • Managing all technical production services, including rehearsal management and advanced planning.

  • Arranging for necessary technical requirements such as sound, lighting, stage management, video, and PowerPoint.

  • Managing all programmatic aspects regarding talent before and during the event.

On-Site Logistics Management

  • Coordinating production schedules and overall floor plans of all event spaces.

  • Managing the day-of event timeline to ensure a smooth and logical event flow.

  • Overseeing registration management and staffing through a third-party agency.

  • Providing complete on-site event management and on-the-ground support for logistics, registration, security, production, programming, attendee experience, speaker experience, and volunteer management.

  • Overseeing full on-site catering management, including green room setups, executive lounge setup, media and press room setup, and meeting spaces.

Post-Event Project Management

  • Ensuring timely final invoices and contract close-outs, and performing post-event budget reconciliation.

  • Evaluating vendor/contractor performance and providing future recommendations.

  • Hosting a final post-event meeting with all project stakeholders and the client team to close out the project.
